POSITION OVERVIEW
The Admissions Specialist at Renew Recovery Center is often the first point of contact for individuals and families seeking help. This role is essential in providing compassionate, timely, and accurate support to prospective clients, guiding them through the admissions process with empathy and professionalism. The Admissions Specialist coordinates intake logistics, verifies benefits, collects documentation, and ensures a seamless transition from inquiry to admission.
REQUIRED QUALIFICATIONS
- High School Diploma or GED (Associate’s or Bachelor’s degree preferred)
- Minimum of one (1) year experience in admissions, intake, call center, or client services in a healthcare or behavioral health setting
- Strong interpersonal and communication skills, both written and verbal
- Proficiency with computers, electronic records, and phone systems
- Ability to manage sensitive and confidential information in compliance with HIPAA regulations
- Flexibility to work evenings, weekends, or on-call as needed
- Valid California Driver’s License (if transporting clients or records off-site)
PRIMARY RESPONSIBILITIES
- Serve as the first line of contact for prospective clients, family members, and referral sources via phone, email, or walk-in
- Conduct pre-screening and phone assessments to determine program eligibility
- Communicate facility services, program offerings, and admission criteria clearly and compassionately
- Support clients and families through the emotional process of seeking treatment with professionalism and empathy
- Schedule assessments, intake appointments, and coordinate with clinical and nursing staff to prepare for arrival
- Gather and review required intake documentation, consents, and releases
- Ensure accurate and complete documentation of client information in the electronic health record (EHR)
- Verify insurance eligibility, benefits, and authorization status when applicable
- Collaborate with the billing department and clinical team to ensure financial and clinical readiness for admission
- Maintain accurate logs and reports for daily inquiries, pre-admissions, and intakes
- Follow up with pending inquiries or referrals and document all interactions
- Coordinate transportation needs if applicable
- Assist with orientation and onboarding of new clients upon arrival
- Support the admissions team with audits, compliance checks, and follow-up documentation

- Must be able to sit, stand, and walk for extended periods; occasional lifting up to 25 lbs
